Payment Control

Set up payment control in minutes — and let the system take over reminders and payment tracking.

PaceTrack automatically:

  • reminds athletes about payments;
  • tracks the status of every payment;
  • notifies you when an athlete reports a payment;
  • helps you quickly see overdue and upcoming payments.

No more spreadsheets and manual reminders to every athlete.

1 Register

Click "Get started free" on the home page. Enter your name, email, and password.

After registration, a confirmation link will be sent to the email you provided.

⚠️ You cannot use the system until your email is confirmed.

2 Add athletes

Go to the "Athletes" section and click "Add athlete". For each athlete you need to provide:

  • name and email;
  • payment day — day of the month;
  • training cost;
  • payment tracking start date.

3 Many athletes? Use XLSX import

Click "Import XLSX". The file must contain these columns:

name email payment_day amount

  • first row is headers; column order doesn't matter;
  • duplicates within the file are skipped automatically;
  • athletes that already exist are not imported again.

4 Add payment details

Go to the "Payment details" section and add your payment method: card number, phone for instant transfer, or a payment link.

Assign payment details to an athlete — and they will be automatically included in every reminder email. The athlete immediately sees where to send the money.

5 What happens next — the system takes over

On the payment date, the following cycle starts:

  1. 1The athlete receives a reminder email.
  2. 2They transfer the money and click "I paid".
  3. 3You receive a notification.
  4. 4You check that the payment arrived.
  5. 5You click "Confirm payment" — done.
💡 If no payment is needed this period (agreed pause, freeze) — click "Skip". The athlete won't receive any notifications, and the payment closes without confirmation.

Frequently asked questions

Athlete didn't receive the email
Ask them to check the spam folder. If the email isn't there, verify the email address in the athlete's profile.
Does the athlete need to register?
No. Athletes don't need an account. They receive emails and confirm payment via links in them.
When will the first reminder be sent?
On the nearest payment date specified in the athlete's profile.
What if the month doesn't have that day?
The system automatically uses the last day of the month. For example: payment day = 31, February → 28 or 29. In March it's 31 again.
How do I change the training cost?
Open the athlete's profile and click "Edit". The new amount applies to the current and future payments.
Athlete reported payment but money hasn't arrived
Click "No payment". The payment becomes overdue and the system will continue reminding the athlete.
What does "Skip" do?
Closes the payment period without confirming payment and without sending notifications. Use it when no payment is expected: the athlete is on a break, you've frozen sessions, or agreed on a postponement. The status changes to "Skipped" — the system won't bother you or the athlete.
I accidentally confirmed a payment
No problem. Open the athlete's profile and change the status manually: "Pending", "Overdue", or "Reported".
How do I connect Telegram notifications?
For coaches: Profile → "Telegram notifications" block → "Connect Telegram" → click Start in the bot. For athletes — three ways: the coach shares the link from the athlete's profile, the athlete clicks the button in the reminder email, or finds it on their payment history page.
Is my data safe?
Yes. Each coach only sees their own athletes. Data between coaches is completely isolated. Passwords are stored securely. We don't share or sell data.
How much does PaceTrack cost?
It's free. If the project helps you — you can support it with a voluntary donation. It's not required.
